EMILY + SEBASTIAN: THE DETAILS BEHIND THE WEDDING DAY

How quick thinking and behind-the-scenes coordination kept their Cleveland wedding celebration running smoothly.

For Emily and Sebastian, their wedding brought family and friends together in Cleveland for a celebration that had been a long time coming. Originally planned for 2020, their wedding finally took place in 2021, with a ceremony at Saint Joseph Catholic Church in Avon Lake, OH followed by a reception at the Draft Room in Huntington Bank Field, home of the Cleveland Browns.

Emily, a childhood friend of Amy's, had asked her to step in and provide day-of wedding coordination. With the major planning decisions already made, Amy's role was to oversee the day's logistics, coordinate with the people involved, and make sure the plans came together. Amy arrived on Tuesday before the Saturday wedding to review the arrangements and help Emily's mother prepare the reception space.

But even with careful planning, a wedding day can bring surprises. As the celebration unfolded, Amy would need to do more than keep everyone on schedule. She would have to make decisions that no one had anticipated, find solutions with limited time, and manage the unexpected so Emily and Sebastian could focus on getting married.

PUTTING THE PIECES IN PLACE

Stepping into an established wedding plan meant Amy needed to understand how everything connected. The church ceremony, reception, vendors, wedding party, and transportation all had their own arrangements, and a change in one could affect what happened next.

Amy reviewed the itinerary and vendor arrangements to understand what had already been decided, who was responsible for each part of the day, and where she needed to be. Because she had not planned the wedding herself, she had to get familiar with those details quickly.

On the wedding day, Amy became a go-to person for the family. She coordinated with the wedding party, managed transitions between events, and answered questions as they came up. Her job was to keep the plans moving while making sure the family had someone they could turn to when something needed attention.

That is what makes day-of coordination valuable. A timeline provides the plan, but bringing it to life requires someone who understands how the details connect, works with the people involved, and adapts when circumstances change. Some of the most important decisions Amy would make that day involved situations no one had accounted for in the itinerary.

WHEN THE DETAILS NEEDED ATTENTION

Despite the preparation, not everything went according to plan. Two situations required Amy to think quickly, work with the people and resources available, and make adjustments without adding stress for Emily and Sebastian.

AN UNEXPECTED FLOWER SHORTAGE

When the flowers arrived at the church, Amy discovered there were not enough bridesmaid bouquets or groomsmen boutonnieres for the entire wedding party. Emily and Sebastian had added more people to their wedding party after placing the floral order, but the quantities had not been updated.

The florist had already left for another wedding and could not return before the ceremony. With little time to spare, Amy had to find a solution using the flowers already available.

She removed a white rose from Emily's bridal bouquet and combined it with spare pieces from the other boutonnieres to create an additional one for a groomsman.

The missing bridesmaid bouquet required a different solution. Amy adjusted the procession so the maid of honor could walk down the aisle without flowers, then take Emily's bouquet after helping arrange her train at the altar.

Both flower adjustments worked within the existing ceremony plans. The procession continued naturally, and Emily did not have to worry about the missing flowers.

A TRANSPORTATION CHANGE AFTER THE CEREMONY

After the ceremony, Amy discovered that the transportation intended for the groomsmen had already departed, leaving several members of the wedding party without a ride to the reception.

Guests were already making their way to Huntington Bank Field, so Amy contacted some of them and asked them to return to the church to pick up the remaining groomsmen.

By finding another way to get the wedding party to the reception, Amy resolved the issue without requiring Emily and Sebastian to step away from their celebration to make arrangements.

In both situations, Amy had to make decisions that went beyond the original itinerary. She worked with what was available, adjusted the plans, and kept the day moving so the couple could continue enjoying their wedding.

THE DAY THEY REMEMBERED

For Emily and Sebastian, their wedding day was about celebrating with the people they loved. After waiting an extra year, they could finally exchange vows, gather with family and friends, and enjoy the celebration they had planned.

Throughout the day, Amy was making adjustments that Emily and Sebastian did not need to think about. She had found a way to make the flowers work, adjusted the ceremony procession, and arranged transportation when the original plans fell through.

Emily only learned about the flower shortage after the wedding.

She had no idea there had been a problem or that Amy had rearranged part of the ceremony to accommodate the missing flowers. From Emily's perspective, everything had gone according to plan.

That is what made Amy's contribution so valuable. She took responsibility for decisions that otherwise might have interrupted the couple's day, giving Emily and Sebastian the freedom to enjoy the moments they had spent so long looking forward to.

IN THEIR WORDS

“To put it lightly, our wedding would have been nothing short of chaotic without Amy’s help. Her attention to detail is just what you want and need for a large event. She ensured that everything happened smoothly and that all the people were where they needed to be at the right time, so we didn’t have to worry about a thing. To take on all of this pressure and do it with a smile is where Amy thrives. We are so grateful to her for making our day perfect and would definitely recommend hiring her!”

IT'S ALL IN THE HOW

A wedding timeline can account for the ceremony, reception, and everything scheduled in between. But even the most detailed plan cannot anticipate every change. What matters is having someone who understands how the pieces fit together and knows what to do when something needs attention.

To Amy, good wedding coordination starts with understanding the whole celebration, not just the schedule. She looks at how vendor arrangements, timelines, and responsibilities connect, where details might have been overlooked, and what needs to happen for everything to work together. The earlier she becomes involved, the more opportunity she has to ask questions, review arrangements, and address potential issues before the wedding day.

That thinking is central to Élevé's approach to wedding planning and coordination. Amy combines thoughtful preparation with the judgment to make decisions when plans change, giving couples the confidence to step away from the logistics and be fully present. After all the decisions, anticipation, and preparation, their wedding day should be something they get to experience, not something they have to manage.

Because years later, what stays with a couple is not the timeline or the last-minute adjustments. It is the people they celebrated with, the moments they shared, and how it all felt to be there.
